TidyOne is a web application for financial and document organization. In Personal you can track income, expenses, receipts, budgets, goals, debts, documents and reminders. In Association/nonprofit you can organize donations and sponsorships, expenses, documents, donors, projects, funds and reports; organizations supporting multiple people can also use beneficiaries, cases and allocations. AI can propose or explain information, but important data still needs human review.
1. What problem TidyOne is designed to solve
Important information often ends up in separate places: transactions in one list, receipts on a phone, invoices in email, PDFs in folders, deadlines in a calendar and reports assembled manually. TidyOne is designed to keep these elements in one structure, so an expense can also have a supporting document, category, project or beneficiary, and a report can reuse data that is already recorded.
The application does not treat Personal and nonprofit activity as the same thing. One account can use both, but the workspaces remain separate, with their own data and limits. The workspace selector matters because a private expense should not accidentally become an Association transaction, or the other way around.
2. The three main paths
| Path | For whom | What it organizes |
|---|---|---|
| Personal | An individual who wants a clearer view of personal money and documents | Income, expenses, receipts, budgets, goals, debts, documents, reminders and AI |
| Nonprofit · one beneficiary | An organization created around one person | Primary beneficiary, donations, sponsorships, projects/needs, funds, expenses, documents, donors and reports |
| Nonprofit · multiple beneficiaries | An organization supporting several people or cases | Beneficiaries, cases, shared projects, funds, financial allocations, documents and beneficiary/case/project reports |
When configuring an Association, the application explicitly offers one-person and multiple people/cases modes. In single-beneficiary mode, the primary beneficiary is stored once and can be preselected in relevant workflows. In multi-beneficiary mode, beneficiary records, cases and allocations become part of the structure.
3. How TidyOne Personal works
Personal starts with money in and money out, then reuses those records in budgets and analysis. An expense can be entered manually or start from a receipt/document reviewed with AI. Budgets compare the limits you define with transactions in the corresponding category and currency; savings goals keep separate progress, while debts maintain their own remaining balance and payment history.
Personal documents can store receipts, invoices, warranties and other PDFs or photos. Reminders are a separate module for due dates and tasks. TidyOne AI can help interpret recorded data and answer questions about relevant documents, but it should not be treated as proof that a bank balance, debt amount or contractual date is correct.
4. How the one-beneficiary nonprofit mode works
This mode simplifies an organization created around a single person. The primary beneficiary remains in the background, while projects can represent different needs such as treatment, therapy, transport or equipment. Income can represent donations, sponsorships or other receipts; expenses can be linked to a project and a supporting document.
Funds are used to track a purpose or need inside the application. They are not bank accounts and they do not by themselves prove that money is legally eligible for a specific expense. Reports help review periods, projects, donations, expenses and documents, but the results should be reconciled against bank statements and accounting records.
5. How the multi-beneficiary nonprofit mode works
In multi mode, the Beneficiary is the person, the Case is a need or intervention tracked separately, and the Project can group activities or funding that involve one or more people. This separation supports clearer reporting and avoids creating a new beneficiary for every problem.
When a single donation or expense belongs to several people, TidyOne supports explicit allocations. The original transaction remains one record, while allocation rows describe how much belongs to each beneficiary/case. Linking one project to two beneficiaries does not automatically split every financial transaction; the allocation must be recorded when that distinction is needed.
6. Documents and AI: proposal → review → confirmation
A common workflow begins with a document. You can upload a PDF or photo in Documents. AI analysis can propose fields such as document type, supplier, date, currency, total, category and available workspace context. Before final save, the proposal must be reviewed by the user.
This matters because AI can misread a total, date, supplier or association. Some files should remain documents without creating a financial transaction. In nonprofit workspaces, the context can include project, beneficiary or case depending on the organization mode and workflow.
7. Reports and exports: what recorded data can produce
Association workspaces include reports for different periods and scopes, including accounting, annual, project/funder and, in multi mode, beneficiary/case reports. Reports use the transactions, projects, funds, documents and allocations available in the selected scope.
Some complete exports, such as PDF/CSV/ZIP, depend on the active plan. The interface can still expose the base report when full export is unavailable. Currencies remain separate; the application should not be interpreted as automatically converting everything into one currency balance.
8. FREE, PRO and usage limits
TidyOne has functionality available in FREE and expanded features or limits in PRO. Plan & Usage shows the current plan, consumption and access to certain features. Limits can differ between Personal and Association, and some multi-beneficiary functions have their own limits.
Do not rely on an SEO article as the source of truth for a purchase if the product has changed. Before subscribing or buying an add-on, check the current plan page inside the application. This guide explains product architecture rather than guaranteeing a future price or quota.
9. What TidyOne does not do in the current implementation
10. How to start without creating a mess
- Choose the correct workspace. Personal for your own life; Association for nonprofit activity.
- If you use Association, choose the correct mode. One beneficiary or multiple beneficiaries/cases.
- Enter a few real records instead of importing everything on day one. For example, one income, one expense and one document.
- Test document → AI → review. Confirm only after comparing with the original.
- Add context. In nonprofit work, verify project, fund, beneficiary or case where relevant.
- Open a report before bulk import. If the structure looks correct with 5–10 records, expand the archive afterwards.
Three simple examples
| Situation | Recommended flow | What to check |
|---|---|---|
| Personal shopping receipt | Document → AI → Expense → Budget | Total, date, category and duplicate risk |
| Donation for the primary beneficiary's need | Donation → Project/Fund → Report | Purpose, currency, contact when available, supporting documents |
| Shared invoice for two cases | Expense → Allocations → Document → Beneficiary/case report | Original total and whether allocations add up to the transaction |
Frequently asked questions
Can I use Personal and nonprofit work in the same account?
Yes. Onboarding and workspace setup support Personal, Association/nonprofit or both, while the workspaces remain separate.
Does TidyOne automatically read all my bank accounts?
Do not assume that. The functionality documented here uses data entered or uploaded into TidyOne and features available in the workspace. Reconcile with your bank whenever the real balance matters.
Does AI automatically create a transaction from every document?
The analysis flow produces a proposal that needs review. A document can also be kept without a financial transaction when appropriate.
What is the difference between a project and a fund?
A project organizes an activity or need; a fund tracks a financial purpose inside the application. A fund is not a bank account and does not by itself determine legal eligibility for a payment.
What is the difference between a beneficiary and a case?
The beneficiary is the person. The case is a need or intervention tracked separately for that person. This structure is available in multi-beneficiary nonprofit mode.
Can I use a TidyOne report as an official filing without checking it?
No. Use the report as an organization and review layer, then reconcile it with source documents, bank records and the accounting/legal requirements that apply to your organization.
